The Vendor Verification Portal enables laboratories to securely request and collect supplier verification information directly from vendors through a controlled web portal. Instead of manually requesting updates, copying data into internal systems and maintaining multiple versions of supplier records, laboratories can now manage the entire process from within LabCollector.

How the Workflow Works

   Request verification

   A laboratory user initiates a supplier verification request directly from LabCollector. The supplier receives a secure invitation email containing a unique access link.

   Secure access

   Suppliers validate their access with a one-time password (OTP) delivered by email. Invitation links stay valid for 72 hours, codes expire after 10 minutes, and the number of authentication attempts is limited.

   Update information

   Through a dedicated verification form, the supplier updates only the requested information — company details, regulatory certifications, quality management information, approved manufacturer or distributor status, contact details and compliance documentation.

   Submit for review

   Once completed, the supplier submits the verification package. The status automatically moves from Requested to Pending Review, which prevents further edits and protects data integrity during the approval process.

   Approve and apply

   Lab personnel review the submission and approve or reject it. On approval, changes are applied to the supplier record, previous data versions are preserved, and the full audit history is maintained.
