In a laboratory, it is often necessary to search for information, data, results that we would have written in our laboratory notebook or in a document on our computer. This mission is often complex, long and time consuming. By using a LIMS, all the data is centralized in one place and thus makes it easier to find certain information. However, even if the data is correctly classified and easily accessible, the search can sometimes be complicated if you don’t know where to look.

Thus, in a perspective of continuous improvement of the user experience and specially to make this thankless and time-consuming task easier and faster, a new add-on for LabCollector has been developed. This add-on, named Advanced Search Manager, allows the use of Elasticsearch to find data and information in all types of sources within LabCollector.

What is Elasticsearch?

Elasticsearch is a real search engine! Its goal is to centralize all the data and to ensure an ultra-fast search but above all an increased relevance of the results provided. Data search becomes child’s play!

Whether your data is structured or unstructured, it is possible to launch several types of searches thanks to a multitude of search criteria association possibilities. Thanks to Elasticsearch, it is possible to search for all types of data, numerical, textual, geographic data, etc.

The data are regularly indexed by Elasticsearch in order to find the right information at the right time. The indexing interval is configurable and allows to regularly update the modifications made, thus increasing the reliability and acuity of the searches.

Advanced Search Manager and Elasticsearch

The Advanced Search Manager add-on has been developed in order to manage the connection of Elasticsearch within LabCollector. As explained previously, Elasticsearch performs a regular indexing of the data. It is thus possible thanks to the LabCollector add-on to manage the CRON indexing lists (command to an operating system or a server allowing the execution of a job at a precise moment) allowing to establish the frequency of the indexing task.

A. How to install Elasticsearch?

In order to guarantee the best solution, Elasticsearch can be installed in several possible ways:

• Locally: on the client server directly
• Remotely: on the client’s server or on a server rented by the client
• Directly on AgileBio servers
• Elastic SaaS: possibility to use Elasticsearch cloud service but also Amazon Web Service.

B. How to integrate Elasticsearch into LabCollector? 

In order to allow the integration and use of Elasticsearch into LabCollector, it is necessary to use an intermediary to make the connection. An add-on called Advanced Search Manager has been developed to manage the connection between LabCollector and Elasticsearch.

The add-on is already available for download and can be installed on your LabCollector. The add-on, easy to install, allows you to manage the connection to Elasticsearch and the CRON indexing lists (Cron is a standard Unix utility that is used to schedule commands for automatic execution at specific intervals.) (see pictures below). In simple terms, this automatic indexing makes it possible to organize a set of documents and later facilitate the search for content in this indexed documents.

When your add-on is correctly installed, the connection with Elasticsearch is established and allows access to the advanced search within LabCollector and more precisely ELN (deployment on other add-ons and LabCollector to come).

Advanced Search and Electronic Lab Notebook

The implementation of Elasticsearch thanks to the Advanced Search Manager add-on includes several development phases. First, this advanced search solution was deployed within Electronic Lab Notebook.

As a reminder, ELN is an add-on allowing you to register, manage and save all your laboratory data, your experiments and your results. Acting like a real laboratory notebook but electronic, all the daily information is incorporated into it and therefore needs to be easily found.

Thanks to the new advanced search, it is now possible to find precise information of any kind, present in the add-on in an extremely fast time.

• The search fields

Many fields are available to make the search more precise and therefore more efficient. It is possible to search within the different levels of ELN (book, experiment, page). Other fields such as the name of the document, the name of the author or the tag filter allow you to refine your search and obtain results that precisely meet your requirements.

• Display of results

The results are presented as individual boxes containing the search item(s). Several pieces of information are also provided in order to easily find the source of the information such as the name of the book, the experience or the page.

A score is also assigned to each result. This score shows the relevance of the result. Before starting to score the documents, Elasticsearch first reduces the candidate documents by applying a Boolean test: does the document correspond to the request? True or False. Once the results that correspond to the request are retrieved, the score they receive will determine their ranking according to their relevance. The rating of a document is determined based on the results obtained in the fields of the query and any additional configuration applied to the search.

• Toolbox: Tag management

Another option is also available to manage the tags of several elements at the same time. A Toolbox allows you to select the desired results and add one or more tags to these pages. This option saves a considerable amount of time in tag management and adds an additional search criterion for future searches.

This new Advanced Search Manager add-on is ideal for performing accurate, fast and data-intensive searches. You no longer have to search for minutes or even hours to find the information, graph or calculation you need, just ask for an answer!

This Advanced Search is currently available in ELN but will soon be available in other add-ons and on the whole LabCollector.

In a laboratory everyone knows the difficulty of constantly managing and controlling the temperatures of freezers, ovens or even your reagent storage area. And yet we all know the importance of these parameters and the impact it can have on our work, our experiments, the money invested in buying everything … its success or failure. As an actor in a medical, pharmaceutical, biotechnological, testing or biology laboratory, you know the importance of storage parameters such as temperature or humidity of blood samples, molecules to be tested, cells, tissues, bacterial colonies, etc. Each of these elements is stored in a precise device in a corner of the laboratory and each device must work correctly to maintain the integrity of the sample, but unfortunately this is not always the case…

To avoid these types of environmental problems, AgileBio has created a new add-on, Data Logger, available directly on LabCollector v6.0. The Data Logger is a networked application that allows you to monitor 24 hours a day the environmental sensors of your laboratory and your instruments and then centralize them in the LabCollector LIMS. LabCollector allows you to set up regular email or SMS alerts if there is an error in any instrument or environmental parameter.

1. What parameters can be controlled?

With Data Logger you can manage a multiple of different parameters.

First, you can control Environmental Parameters: Temperature (low and high), Humidity, Gas, Pressure, Light (Day & Night cycle).

But it’s also possible to control some Energy Parameters: Conductivity, Amps, Volts, Power, Electrical consumption.

2. How does Data Logger work?

Finally, each user of the LabCollector Data Logger can easily find information about the equipment measurements thanks to the graphical display and retrieve data for a defined period (See below – 4.Data Logger & Quality Control).

3. How is one warned in case of malfunction?

How many of you can relate to a situation, when you were not in the lab and when you come back to work, you see that the refrigerator did not function properly or there was a power outage, not enough water to maintain the humidity of incubator, etc. Imagine that all of your reagents or samples stored in a freezer are no longer usable because the freezer has stopped working! You would have to buy new reagents and redo all the experiments thereby decreasing your efficiency and productivity.

Of course, all this could have been avoided if you had been warned that the freezer was no longer working. Imagine, if there was a way that all your instruments were connected simply to your phone (and computer). A single switch in any parameter in pressure, humidity, CO2 levels and you get an immediate SMS or email alert! It is in situations such as these that the use of Data Logger alerts is very useful. You can ask someone to take care of the issue or you can go yourself and save all your hard work and do any experiments as planned.

These alerts can be sent in two ways:

• Email: directly via the add-on (default settings)
• SMS: by using NET/GSM logger or SMS Gateway extension

It may be important for some labs to have time tracking of parameters and alerts.

Data reproducibility is one of the most important aspects of any research. If you are a drug discovery unit, data integrity & regulatory compliance are of utmost importance. Paper Lab notebooks can only help you with the data reproducibility & integrity to an extent.

In order to avoid these inconveniences and make sample management more efficient, AgileBio has developed an add-on with LabCollector called, Lab Service Manager (LSM). This add-on is a complete solution that allows you to:

1. Create an inventory of sample and Chain of Custody (CoC)
2. Create jobs (tests) to be performed on samples
3. Configure test parameters
4. Create reports
5. Manage costs and create invoices

It is that simple!

1. CREATE AN INVENTORY OF SAMPLE AND COC

Add one or more samples related to a job from the inventory by completing the information required to identify each sample (number, type, date of sampling, test to be performed, etc.). Lab Service Manager also supports the barcode system so you can print barcodes for samples in a job.

• Other “semi-automatic” sample-receiving techniques are available on LabCollector such as the Sample module or the Sample-receiving add-on which allow you to speed up samples receiving and storage for tens or hundreds of arriving samples packages. These modules and add-ons can be directly synchronized to LSM to facilitate the creation of jobs and the addition of samples.

2. CREATE JOBS (TESTS) TO BE PERFORMED ON SAMPLE

Add a job request with an easy-to-use interface that allows you to complete the information related to the job (date, job number, requester, priority level, etc.). Then you can add one or more sample to the job request related to your samples inventory or directly by adding sample in Lab Service Manager.

3. CONFIGURE TEST PARAMETERS

In order to be fully adapted to your needs, it is possible for you to configure all features related to a job. Indeed, you can configure:

• Operators to whom you can assign a job
• Equipment and reagent required for the test. You can add directly on LSM or choose elements already added in modules “sample” and “equipment”.
• Processing parameters specific to each test.
• Protocols for each test by writing it or directly downloading a file in LSM.

LSM can also be connected to a custom module if you need specific data to be added to job and test.

4. CREATE REPORTS

After a job has been created, it is possible to monitor the progress of each job and for each sample. When a job is done you can generate a result report previously validated by a “validator”. The template of the report can be fully configurable with all the data you want to show.

An option for even more efficient automation is the use of I-Collector which can be used to retrieve the results on laboratory instruments and incorporate them directly into the report.

5. MANAGE COSTS & CREATE INVOICES

Costs of a test can be configured in order to automatically create a quote or an invoice for each job. At the end of a job, an invoice is created with the tests performed as well as the cost for each test previously configured. The template of the invoice is also configurable.

Now that we know how LSM can make the life of test/service core labs easier, you’re probably wondering

if there’s a way to be linked to the requester in order to receive job requests directly?

Well the answer is YES!

To go even further in data management, avoid transcription errors as much as possible and facilitate the provision of sample-test information, AgileBio has developed a web extension for requesters and also for patients, LSMRemote.

This extension, accessible via a simple link on the internet, allows requesters to directly submit the job orders with all the information related to jobs (tests) and samples. This information is received directly on LSM. All information is synchronized between LSM and LSMRemote.

The requester can thus:

• See the status of the jobs for each sample.
• Get the report directly after the job is finished.
• See the Chain of Custody (CoC)
• Request a repeat job with or without new samples.

Uploading and editing documents became a whole lot easier with our new tool File Connector.

File Connector enables you to connect to different file editing systems allowing you to edit any file type easily and swiftly in real-time!

This means you no more have to worry about downloading or uploading documents to edit them.

The main feature of File Connector is that the file that is stored on the remote server of LabCollector, can be edited locally as needed and sent back to the LabCollector server on each save!

We never really realize that we do so many steps just for editing a file…..Right? and what if you uploaded the wrong file or forgot to save the edited version.
Moreover, what if your computer shuts down…battery dead, some issue!!! Does your file gets uploaded then? So many things that can go wrong which could cost you a lot of time.

To make file editing quicker and reliable, we have launched our new File connector software that saves you from all this hassle and makes editing any file easier and time-saving for you. Our file connector uses the TCP/IP settings to allow communication between two or more computers thereby making editing files easier even remotely.

All you have to do is open the file you want to edit and edit it. The rest is taken care of by our File Connector.

If you are using LabCollector and its add-ons such as Electronic Lab Notebook (ELN) or Lab service Management (LSM) then you can imagine you will store the required documents with each record that you create.

For example, in ELN you can imagine storing an Adobe illustrator file for making high graphic diagrams or Photoshop to create paper worthy images or to store excel files, pdf documents, word documents containing protocols, or recipes or any raw result data. 

Our LSM is perfect for labs that carry our various tests and one can imagine uploading various word files with some reagent recipes or pdf files that could be needed during the tests or the results carrying excel file after the tests are performed. 

Whenever you wish to add or edit data to such files, what would be your first step generally?
Download, save, edit, save, upload and so on. right?

You no more have to go through this long time-consuming procedure. Our File connector reduces all these steps and lets you edit and upload the file in real-time. You don’t have to worry if during file editing you close the software accidentally or if you forgot to save. The file connector saves these files in the list when you reopen the file connector with the information of when the file was stored or modified.
Until you remove the file from by giving the “Discard” command, the file will be saved in the file connector.

LabCollector has launched the mobile app making lab management easier than ever.
In today’s times which gadget do you use the most? Your Laptop or computer or your mobile? What is the first thing that everybody in today’s tech-savvy world sees when they get up in the morning? or when they sleep at night? or when they are traveling? We all know the answer to these questions. The fact is that no matter how much laptops and computers have conquered the world today, Mobile is still the King of Gadgets! We all love to see news, Facebook, Instagram, Whatsapp & play games on our mobile using apps.

Nowadays, we have apps for entertainment, cooking, business, dating websites, shopping of course! etc. So we did not want to stay behind anymore & allow LabCollector users to be just confined to laptops or computers. We have launched the new LabCollector app that allows you to access LabCollector anywhere. Almost every pharmaceutical company and most of the academic labs are taking advantage of Laboratory Information management software (LIMS). To avoid all these issues we have launched the mobile app that allows you to have a user-friendly experience while managing your lab.

Lab collector mobile app makes lab inventory management accessible from anywhere. You can take your mobile in the lab storage or near the fridge or liquid nitrogen and record the storage information in real-time. This will save you the hassle & time of recording inventory many times.

Barcode generation

Just visualise yourself picking up a vial of let’s say a reagent or a frozen cell line or a bacterial culture, for which you are searching a piece of specific information. You need this information in a research paper or to see if the vial is still in use or is expired or to be disposed of. How can one write all this information on tiny vials? Even if you do, the handwriting is sometimes unrecognizable or the data is smudged off, leaving you questioning if you should or should not use the vial. Don’t worry, we save you from all this drama. LabCollector allows you to generate and stick barcodes for each vial that you make. So now picture yourself again in a storage room removing a vial that contains a barcode, all you have to do is scan the barcode into an active field and you will have all the required information about it. So all you do is go, remove vial and scan…Voila! you have your information. All this is made true by LabCollector and made much more manageable by our new mobile app.
